Position: Administrative and Finance Officer (Part-time, Home-based)

Location: While this is a remote position, the candidate must be based in the Philippines. Being located in Metro Manila or nearby provinces (e.g., Laguna, Cavite) is ideal for logistical purposes.

We're looking for a highly organized and detail-oriented Administrative and Finance Officer to join our small, dynamic team. This is a part-time, home-based position requiring approximately 5 hours per week (about 1 hour per day, 5 days a week). Key Responseabilities


📑 Financial record keeping and management

  • Maintain accurate and up-to-date records in SPS’s accounting software (QuickBooks) and reconcile them with manual records (Google Sheets)

  • Perform monthly bank reconciliations for our corporate accounts (UnionBank and BPI).

  • Ensure all financial transactions are properly documented and categorized.


📜 Financial document preparation and management

  • Prepare essential financial documents, including invoices, expense vouchers, acknowledgment receipts, and BIR 2307 forms.

  • Coordinate with suppliers and consultants to secure signatures on required documents.

  • Manage the digital filing system by uploading all signed documents to their respective project folders for easy access and audit trails.


📊 Financial reporting and compliance

  • Assist in the preparation of timely financial reports for funders and partners.

  • Support the preparation of supplier accreditation materials.

  • Provide crucial support for annual statutory requirements, including the preparation of the Annual Income Tax Return (ITR) and Audited Financial Statements (AFS).


💸 Payments and payroll administration

  • Process and schedule payments to contractors, suppliers, and partners via SPS’s corporate accounts, ensuring timeliness and accuracy.


Qualifications and competencies

  • Experience: At least two years of professional experience in finance, bookkeeping, or a similar administrative role. Experience with auditing processes is a strong advantage.

  • Sector knowledge: Experience working in the non-profit sector is ideal but not required.

  • Certification: Being a Certified Public Accountant (CPA) is ideal but not mandatory.

  • Location: Based in Metro Manila or nearby (e.g., Laguna, Cavite) is ideal

  • Technical Skills: High proficiency in financial management tools, particularly QuickBooks, as well as Microsoft Excel and/or Google Sheets.

  • Regulatory Knowledge: Familiarity with Philippine tax regulations (BIR) and financial reporting standards.

  • Personal Attributes: Exceptionally detail-oriented, proactive, and responsive. Must be able to work independently and manage time effectively in a remote setting.

  • Availability: Available for approximately 5 hours per week, with a flexible schedule across weekdays.


Reporting arrangements: The Administrative and Finance Officer will report directly to the Executive Director.
