Position: Assistant Administrative and Finance Officer (Part-time, Remote)

Compensation: The hourly rate will be commensurate with experience.
Location: While this is a remote position, the candidate must be based in the Philippines. Being located in Metro Manila or nearby provinces (e.g., Laguna, Cavite) is ideal for logistical purposes.
We are looking for a highly organized, detail-oriented, and integrity-driven Assistant Administrative and Finance Officer to join our small, dynamic team. Key Responsibilities
Financial Review and Control
Perform independent monthly bank reconciliations and prepare reports for Board review.
Conduct pre-approval review of payment vouchers and supporting documents for accuracy and compliance.
Review payroll for correctness before final Executive Director approval.
Perform regular sample reviews of QuickBooks entries to ensure accurate coding and documentation.
Donor Reporting and Reconciliation
Reconcile donor financial reports to the general ledger using a dedicated Control Sheet.
Flag and document discrepancies for executive oversight.
Submit reconciliation findings directly to the Executive Director and Board Treasurer.
Document and File Management
Maintain and submit a monthly File Integrity Log to ensure all contracts, invoices, and reports are properly filed in Google Drive.
Verify that uploaded documents are complete, final, and correctly named.
Alert the team to any missing or draft documents.
Print and file hard copies of finalized vouchers and reports.
Administrative and Operational Support
Assist in procurement and vendor liaison by tracking status and documentation flow
Serve as backup liaison to contractors and suppliers, tracking deliverables and reminding the AFO of pending actions.
Support audit preparation and other compliance-related tasks as needed.
Qualifications and Competencies
Experience: At least one year of professional experience in bookkeeping, accounting, or a finance/administrative role with strong review and control duties.
Sector knowledge: Experience in the non-profit sector is ideal but not required.
Certification: Being a Certified Public Accountant (CPA) or similar credential is ideal but not mandatory.
Location: Based in Metro Manila or nearby (e.g., Laguna, Cavite) is ideal.
Technical Skills: Proficiency in QuickBooks Online, Google Workspace (Drive, Sheets, Docs), and Microsoft Excel
Regulatory Knowledge: Familiarity with Philippine financial and reporting standards is a plus.
Personal Attributes: Exceptionally detail-oriented, proactive, ethical, and able to work independently in a remote setting.
Availability: Available for approximately 2 hours per week, with a flexible schedule across weekdays.
Reporting Arrangements
The Assistant Administrative and Finance Officer will report to the Administrative and Finance Officer, with dotted-line accountability to the Executive Director for certain control and reporting functions
